Extended access for departing employees
When employees leave your organisation, they typically have 30 days of Sonder access to complete any ongoing support or transitions. In certain circumstances, you can request an extension up to 90 days at an additional cost per employee.
Standard access: 30 days
All departing employees receive 30 days of Sonder access from their end date, allowing them to:
- Finish any active support interactions
- Transition care if needed
- Access resources and information
After 30 days, their access ends.
Extended access: 90 days
You can request extended access (up to 60 additional days) when employees have ongoing needs that require continued support.
Eligible circumstances include:
- Ongoing medical treatment or clinical appointments
- Safety concerns requiring ongoing support
Timeline:
You must submit the request before the employee's end date. Extensions cannot be approved retroactively after access has ended.
Cost:
Extended access requires a fixed fee per employee. Email customer.support@sonder.io to confirm current pricing and submit your request.
Email example:
"We have an employee [Name] departing [End Date] who we have an active safety concern for. We'd like to request a 60-day extension to allow continued access. Their personal email is [email]. Please confirm pricing and next steps."
When requesting extension, provide the departing employee's personal email address. This is essential because:
- Their workplace/university email will be deactivated during standard off-boarding
- They'll need to log in with a personal email to continue accessing Sonder
- Without this, they'll lose access immediately when their workplace account is deactivated

When does the 30-day access clock start?
Depending on your member ingestion method, this will either begin from the 'end date' shared, or when you remove the employee from your member management portal.
Can I request an extension after the employee has already left?
No. Extensions must be requested before their end date. Once the 30-day period ends, access cannot be restored retroactively.
Does the employee need to do anything special to maintain access?
The employee should ensure they:
- Have access to their personal email
- Remember their login credentials
- Update their email address in Sonder if needed
You can notify them that their access is being extended and which personal email to use.
Can we extend access for all departing employees?
Extensions are for employees with extenuating circumstances, not standard practice. Standard 30-day access applies to all departing employees.
