Sonder Portal: Adding Member Data
This guide walks you through adding employees to Sonder using the Portal.
Before you start: Check your available seats
Before adding new members, check how many seats you have remaining in your account. The Portal will prevent you from exceeding your total seat count.
To check your seats: Log into the Sonder Portal and go to Members > Manage Members. You'll see your seat allocation on the top left.
If you need more seats, contact your Customer Success Manager.
Adding new members (individual)
- Log into the Portal at customers.sonder.io/login
- Go to Members > Manage Members
- Click Add a Member
- Fill in the required information:
- First Name (required)
- Last Name (required)
- Email Address (required, must be unique)
- Add optional information:
- Division (e.g. Finance, People & Culture) used for reporting
- Sub-Division (e.g. Accounts, Talent) used for reporting
- Click Add a Member to create the profile
The member now has access to Sonder and will receive a welcome email with login instructions.
Adding multiple members at once (bulk upload)
Use bulk upload if you're adding 10 or more members, or if you want to import from your HRIS system.
Step 1: Prepare your file
You can either:
- Export the CSV template from the Sonder Portal and fill it in
- Export member data from your HRIS system (must be CSV or Excel format)
Your file needs these columns:
- First Name (required)
- Last Name (required)
- Email Address (required, must be unique for each person)
- Division (optional, for reporting)
- Sub-Division (optional, for reporting)
Tip: Make sure your column headers match exactly (e.g. "First Name", not "FirstName"). You can compare your file to the template if you're unsure.
Step 2: Upload your file
- Go to Members > Manage Members > Bulk Add Members button
- Drag and drop your file into the upload area, or click Upload file to select it
- Wait for the upload to complete (takes several seconds)
Step 3: Map your columns
The Portal will ask you to match columns in your file to fields in Sonder. For each column on the left, select the matching field from the dropdown on the right.
- Mandatory fields (marked with *): First Name, Last Name, Email Address
- Optional fields: Division, Sub-Division (mapping these gives you better reporting later)
Click Continue when all required fields are mapped.

Tip: You can hover over a field to see a preview of your data and confirm it's mapped correctly.
Step 4: Review and fix errors
The Portal will check your data for common errors. Any problems will be highlighted in red.
Common errors:
- Missing mandatory fields: Make sure every member has a first name, last name, and email address
- Invalid email: Check the format (example@company.com)
- Duplicate email addresses: Each member needs a unique email
You can edit records directly in the table. When you fix an error, the row will turn green.
Click Submit when all errors are resolved.
Tip: For large files, use the filters at the top to show only rows with errors.
Step 5: Confirm and submit
A dialog will show:
- Total records in your file
- Number of records with errors (if any)
- Number of valid records ready to upload
- Whether you're exceeding your seat count
- If any records were rejected, you'll see a dialog offering to download disregarded records. Download this file. It's the only time you'll have access to it, and it explains why each record was rejected for you to fix and re-upload later.
Review the summary. If everything looks right, click Confirm to submit.

Frequently asked questions.
What if I exceed my seat count?
Members above your seat count will be flagged as errors and rejected. Download the discarded records list to see which ones weren't uploaded. Contact your Customer Success Manager to increase your seat count, then re-upload the rejected members.
How long before new members can access Sonder?
Immediately after you add them. They'll receive a welcome email with login instructions.
Can I upload members with different column headers?
The Portal will let you map different headers during step 3, so you don't have to rename your file. Just match each column to the correct field.
